Exec’s sharing options give you precise control over who can access, assign, monitor, or edit a roleplay. These permissions are designed to support different roles across your organization - from learners and managers to facilitators and program owners - while maintaining appropriate access and content integrity. Understanding how each sharing option works ensures roleplays are distributed intentionally, progress is visible to the right stakeholders, and content remains easy to manage at scale.

Share Permission Levels

There are four different levels of permissions that can be set:
This allows a user to:
  • View the roleplay
  • Complete (practice) the roleplay
This is the default permission given when you assign a roleplay to someone using the Assign button.Best for:
  • Learners practicing a roleplay
  • Individual contributors who do not need management or sharing access
This allows a user to:
  • View the roleplay
  • Complete the roleplay
  • Share the roleplay with others
Users with this permission cannot edit the roleplay, but they can distribute it further within the workspace.Best for:
  • Managers or facilitators who help distribute roleplays
  • Enablement or L&D partners supporting rollout
This allows users to:
  • View assignment activity and completion status
  • Monitor learner progress through the Assignments tab
Important behavior to note:
  • If a roleplay is set to Private or Restricted, users with Can Monitor access will not see the roleplay directly in their workspace.
  • Instead, they will see:
    • Assigned learners
    • Activity status
    • Completion progress
  • If they click into an assignment from the Assignments tab, they can view the roleplay details from there.
  • If the roleplay is set to Workspace visibility, monitoring users can see assignment activity directly without restriction.
Best for:
  • Managers tracking completion
  • HR or L&D leaders reviewing participation
  • Program owners overseeing rollout and engagement
This allows users to:
  • View the roleplay
  • Complete the roleplay
  • Share the roleplay
  • Edit the roleplay content
This is the highest level of roleplay-specific access.Best for:
  • Roleplay creators
  • Program owners
  • Admins or partners responsible for maintaining or iterating on content

Accessing Share Options

Open the specific roleplay you want to distribute & click the Share button

Type the name of the person you want to share the roleplay with

Note: the user must already be in the workspace

Select the appropriate permission level from the dropdown menu

Best Practices:
  • Use Can View for learners and individual contributors.
  • Use Can Share for facilitators helping distribute roleplays.
  • Use Can Monitor for managers who need progress visibility but shouldn’t edit content.
  • Use Can Edit sparingly to maintain content quality and consistency.
